Position Overview

The Executive Assistant is responsible for performing senior level administrative duties for the CEO, CFO, and other executives as necessary, as well as leading a variety of corporate programs. The successful candidate will need to demonstrate their ability in proactively managing a wide range of topics, deadlines, and executive calendars.  The candidate will require a keen attention to detail and be results-oriented. Additionally, they must exhibit executive presence along with possessing a sense of responsibility and confidentiality to establish themselves as a trusted partner to the executive leadership team.

Some of the duties and responsibilities may be required as identified below.

 

Responsibilities

  • Leads the approval and administrative review process for all corporate policies and procedures, coordinates all activities of the Corporate Control Board (CCB)
  • Coordinates Board of Trustees Meetings and requirements
  • Leads the administration of all corporate insurance plans
  • Supports annual filings and registration processes across the organization in support of the business
  • Leads the planning and execution of various events, to include social gatherings, award programs, offsite meetings, etc.
  • Maintains organizational records, including but not limited to the Corporate Records Repository, Intellectual Property Records, etc.
  • Responsible for proofreading, and/or preparing correspondence for signature, and coordination of formal briefing materials.
  • Arrange and schedule meetings and video teleconferences and monitor the executives’ calendars
  • Manage the daily schedule of the executives (Chief Executive Officer, Chief Financial Officer); coordinate domestic and international travel.
  • Other responsibilities as assigned

Qualifications

  • Bachelor’s degree in business administration/management.
  • 12+ years’ experience supporting c-level executives, preferably in a high technology company and/or combined experience including event planning and management (supervisory, office or project).
  • Advanced experience with Microsoft products especially Outlook, Word, Power Point and Excel.
  • Extensive experience with arrangement of complex schedules and logistics, at times, across multiple time zones.
  • Excellent time management, planning, organizational skills, and attention to detail.
  • Excellent written and verbal communication skills.
  • Proven ability to interact in a professional manner with customers, board members, investors, and internal team.
  • Ability to work on multiple projects, lead priorities and accurately set expectations.
  • Ability to maintain complete confidentiality on all business matters.
  • Ability to flex and expand schedule in the event of a work surge

Global Comp

$128,000 - $165,000 This represents the typical compensation range for this position based on experience, location and other factors.
